Key Points to Writing
  • Remember, there the purpose for the letter.
  • Use the right words, utilize a resource like Merriam-Webster Online.
  • Use a spell checker (F7 Word) and avoid common misspellings
  • Watch Tense Shifts, going from "s" to "ed"
  • Keep the text simple
  • Avoid acronyms and jargon, the people reading the letter are not familiar with it.

     As the Commander for [unit], I thank you for your support of the Air Force Reserve and our members who work in your organization. Air Force Reserve units and personnel have been activated several times recently, for war, peace keeping, nation building, and state-side relief operations. The reserve forces account for about half of our total military forces. Weekend drill and annual training are absolutely essential to maintain those military skills that Guardsmen need to be able to accomplish their assigned mission.

    The [unit] has been alerted for potential duty in support of [operation]. The unit will remain on alert for [##] months. During this time, airmen of the [unit] may not be on active duty but are subject to being called and ordered to report for missions within 24 hours.

     Terrorist organizations have shown the will and capability to bring the fight to our homeland. Equally, we must demonstrate the will and capability to defend our homeland. A fully trained and ready Quick Reaction Force is a significant part of our homeland defense. As we exercise our basic freedoms during the upcoming elections, it is important that we be prepared to respond immediately to any efforts by terrorist organizations to disrupt this process.

     Your continued support and cooperation is greatly appreciated, and is vital to the continued adequate defense of this nation by our military forces. Enclosed is a copy of our training dates for you, as we know them at this time. It is my hope that by providing this notice of scheduled military training and potential short-notice call-up of your employee that scheduling problems can be avoided. If there are any major changes in this schedule, your employee, or my designated representative will notify you. I have also included information on the Uniformed Services Employment and Reemployment Rights Act (USERRA) to let you know the responsibilities of the employer, employee, and the military.

     I fully understand that military duty commitments may cause an undue hardship for your business. In these cases, we are prepared to work with you or your representative to resolve such problems whenever possible. Please contact Captain [Name] as soon as possible of any potential scheduling conflicts (XXX-XXX-XXXX).
